About the Position

The Accounting Specialist is responsible for the day-to-day execution of accounts payable and accounts receivable functions, ensuring accurate and timely billing, collections, and expense management. This role supports the integrity of financial data by managing invoicing, monitoring accounts receivable aging, resolving discrepancies, and ensuring transactions are recorded in accordance with customer agreements and company policy.

The Accounting Specialist supports the month-end close process through the preparation of reconciliations and journal entries, while ensuring daily financial activity is accurately coded to the general ledger. This position responds to customer and vendor inquiries, and partners cross-functionally with sales, and customer success to resolve issues efficiently.

Additionally, this role helps improve accounts payable and accounts receivable processes by identifying opportunities to streamline workflows, increase accuracy, and support automation.

What You’ll Be Doing

  • Perform day-to-day accounting related to accounts payable, accounts receivable, and general ledger coding and maintenance

  • Code expenses to ensure accurate departmental budgets

  • Create and send monthly invoices and properly code collection of payments

  • Monitor AR aging and ensure timely collections

  • Review customer contracts to ensure billing is in accordance with agreement and pricing is accurately updated in systems

  • Coordinate with sales/customer success teams to research and resolve collection issues

  • Respond to customer and vendor inquiries and resolve discrepancies in a timely manner

  • Prepare monthly reconciliations, journal entries, and assist in the month-end close process

  • Identify and contribute toward accounts payable and accounts receivable process improvements 

  • Support the creation and maintenance of SOPs for AP/AR processes

  • Assist Financial Controller by answering accounting and financial questions through research and analysis

  • Other duties as assigned

Compensation & Benefits

  • Salary: $33.48/hour (please note that this wage is inclusive of all expected compensation. As with all roles at AdvicePay, we do not have a commission or bonus structure)

Job requirements

What You’ll Bring to the Table (If you think, “I only meet 80% of these qualifications”, still apply!)

  • BS degree in accounting or finance or equivalent experience

  • 2+ years of relevant accounting experience, including accounts payable and accounts receivable (required)

  • Ability to multitask and balance priorities

  • Excellent knowledge of accounting and financial processes in Accounts Payable and Accounts Receivable in accordance with GAAP

  • Experience with MS Excel/Google Sheets

  • An inherent curiosity for numbers and detailed financial systems

  • Ability to manage data integrity across multiple systems

  • High sense of personal responsibility and integrity (required)

  • Communication skills with the ability to convey information professionally with kindness, clarity, and accuracy whether through written or verbal means

  • An understanding of and strong alignment with our core values (required)

  • Legally authorized to live and work in the United States (required) (AdvicePay participates in E-Verify to confirm the identity and employment eligibility of all new hires.)

What Will Make You Stand Out From the Crowd

  • Experience with Stripe Billing and Invoicing

  • SaaS or other subscription-based service experience
